Z-Mail Pro 6.1 User's Guide

Chapter 2. Setting Up Z-Mail™ Pro Client

Install the Z-Mail™ Pro software according to the instructions on your CD booklet or Installation Card. System administrators should review Automatic Setup in readme.hlp for group and multiple user setup.

Hardware Requirements

The following minimum hardware configuration must be available before you begin installation of Z-Mail™ Pro Client.

  • IBM PC (or compatible computer) with 4 MB or more of RAM, 386 CPU or later capable of running Microsoft Windows 3.1, Windows NT, or Windows 95. A mouse, 1.44 MB HD, 3.5" floppy disk drive, and a hard disk with at least 20 MB free for product installation.
  • NetManage TCP/IP stack or the Microsoft TCP/IP stack.

Software Requirements

  • Microsoft Windows 95 (for Z-Mail™ Pro 95)
  • Microsoft Windows NT (for Z-Mail™ Pro NT)
  • Microsoft Windows 3.1/3.11 (for Z-Mail™ Pro for Windows 3.1)

Setting Up Z-Mail™ Pro Accounts

This section describes, step-by-step, how to set up a Z-Mail™ Pro account for the first time user and how to add additional users. It also includes a brief discussion about Z-Mail™ Pro configuration files and the Z-Mail™ Pro log feature.

Note: When upgrading from a previous version of Z-Mail™ Pro, you will not need to create a user account again.

Setting Up a New Z-Mail™ Pro Account for a User (First Time Only)

You start Z-Mail™ Pro Client by first launching the Z-Mail™ Pro Client icon.

To set up a Z-Mail™ Pro account for a user for the first time, you need to complete the New User dialog box. Note that to use the Phone Tag, Tag-It!, Forum, orMailbox Converter applications, you must have this account set up.

To set up a Z-Mail™ Pro account for a user for the first time, follow these steps:

  1. Open Z-Mail™ Pro. The Z-Mail™ Pro - New User dialog box appears.
  2. Under Local, enter the user's name, user's password (optional), user's name in real life, and local mail directory in the designated fields.
    The local mail directory identifies where all configuration files and individual mail messages are saved on your machine. You may set up a separate mail directory for each user. For example, the mail directory, c:\netmanag\email\steven, is set up only for user Steven.
    Choose the OK button.
  3. The Z-Mail™ Pro Transport Setup dialog box appears. You may select any of the check box items:
    • Internet Mail: Sets the Z-Mail™ Pro application to handle standard Internet e-mail. You need this transport to use Internet Mail and Forum. You also need it with IMAP (to specify an outgoing mail gateway).
    • IMAP4: Sets the Z-Mail™ Pro application to handle mail on remote servers using the IMAP4 protocol. For more information on this option, see the IMAP sections in this chapter.
    • News: Sets the Z-Mail™ Pro application to handle Forum article access.
  4. Choose the OK button.
  5. The Network Setting dialog appears, with a tab for each of the Mail transports you selected earlier. Use the various tabs to set the appropriate information.

    Note: The dialog displays tabs only for the transports that you have already selected. You may later add transports by choosing the Add button from the Network settings dialog box.

Internet Mail Tab (Setting up a Standard Mail Account)

Use the Internet Mail Network Settings tab dialog to specify information for standard e-mail:

Internet Mail Setting Description
Host Specify the name of the computer system acting as the mail server.
User Specify the mail user.
Password Specify the password for the mail user.
Mail Directory This field is used for POP2 support.
Delete retrieved mail from server Select this option if you want your mail automatically deleted from the server after you have retrieved it.
Outgoing Mail Gateway Type or select the name of the mail gateway. A mail gateway routes all mail messages that are transmitted to the Outbox. A mail gateway is often used for access to the Internet. The mail gateway must be configured to perform as an SMTP relay.
If you do not define a mail gateway in Z-Mail™ Pro, the mail gateway you define in Outbox is used instead.
From Address Type or select the name in the From field you want to appear as the sender when mailing a message.

Setting Up Z-Mail™ Pro Accounts for Additional Users

Once you have set up an account for the first user, you can set up mail accounts for additional users, by first logging in as Postmasterr and then as User.

Postmaster Login Steps

To log in as Postmaster and set up accounts for additional users, do the following:

  1. Open Z-Mail™ Pro. The Z-Mail™ Pro - Login dialog box appears. Select Postmaster from the Username drop-down list box and choose the OK button.
  2. The Z-Mail™ Pro Transports Setup dialog box appears.
    • If you do not want to receive or send mail as a postmaster, for instance you only want to add/modify additional users, choose the cancel button.
    • If you want to send/receive mail as Postmaster, select the appropriate check box item(s): Internet Mail, IMAP4, or Internet Fax, and choose the OK button. The Network Settings dialog box appears. Choose the Apply and then OK buttons.
  3. Choose the Mailboxes... command from the Services menu to display the Mailboxes dialog box.

    Note: The Mailboxes... command under the Services menu only appears when you are logged in as Postmaster. This is the only dialog box in which you can add and delete users and specify a user's mail directory.

  4. Enter the user's name in the User text box and choose the Add... button. The Enter Information for new user dialog box appears.
  5. Under Local, enter the user's name, user's password, user's name in real life, and local mail directory in the designated fields.
    The local mail directory identifies where all configuration files and individual mail messages are saved. You may set up a separate mail directory for each user. For example, the mail directory, c:\netmanag\email\steven, is set up only for user Steven.
    Choose the OK button.

Logging into Z-Mail™ Pro as a First-Time User

To login into Z-Mail™ Pro as a user, do the following:

  1. Open Z-Mail™ Pro. The Z-Mail™ Pro - Login dialog box appears. Enter your previously defined user name and password and choose the OK button.
  2. The Z-Mail™ Pro Transport Setup dialog box appears. You may select one of the check box items: Internet Mail, IMAP4, or Internet Fax. Choose the OK button.
  3. The Network Setting dialog appears, with a tab for each of the Mail transports you selected earlier. Refer to the previous section that discusses how to set up a new Z-Mail™ Pro account to enter network settings information.
  4. After you have entered these settings, Z-Mail™ Pro will automatically invoke the appropriate settings when you select the type of mail that you want to create. You can now begin using Z-Mail™ Pro.

Setting up IMAP Accounts in Z-Mail™ Pro

Z-Mail™ Pro uses the IMAP4 (Internet Message Access Protocol), which is a client/server protocol, for manipulating remote message files. Remote and local folders are fully integrated in Z-Mail™ Pro; messages are viewed and folders managed in the same way. IMAP accesses mailboxes (folders) on remote servers as if they were local mailboxes, using the same commands such as moving to folders, search, marking messages.

IMAP features include:

  • access to multiple hierarchical structured mailboxes on the same or different remote servers
  • shared mailboxes between users
  • only headers displayed - only when you view a message is it fetched, avoiding unnecessary retrieval of large attachments and saves bandwidth.
  • allows you to manipulate remote mailboxes (as if they were local folders): creating, renaming, opening and deleting mailboxes, and searching the current remote folder
  • allows you to download specific messages or the full contents of a specific remote mailbox
  • empties remote trash
  • by selecting your private remote INBOX folder, you may read you new mail through the IMAP server
  • periodic/on demand checking and retrieval of recent mail from all connected INBOX folders
  • dragging and dropping between folders; messages from your old folders can be easily moved into new IMAP remote folders
  • can apply multiple rules and continue to following rules
  • right click of the mouse (or alt + enter) to access drop down menu commands on remote host
  • connecting and disconnecting of remote servers from the main window
  • allows printing without logos
  • provides a newsgroup thread
  • supports other NetManage messaging applications, such as Phone Tag, Tag-it!

IMAP4 is used to manage messages on a remote host. IMAP provides access to multiple hierarchically structured mailboxes on the same or different remote servers and to shared mailboxes between users. Only headers are retrieved, which avoids unnecessary retrieval of large attachments and saves bandwidth. When a message is viewed, it is fetched and stored online in the local cache for the duration of the mail session.

You may access multiple remote servers, or add numerous occurrences of the same server with different user names. Additional servers are added through the Network Settings dialog. Each server you add appears as a separate branch on the Remote tree displayed in the left pane of Z-Mail™ Pro's main window. Messages can be moved between mailboxes on the SAME server (same user tree), or to local folders.

IMAP does not post mail; this function is handled by SMTP.

IMAP4 Tab (Setting up an IMAP Account)

Use the IMAP4 Network Settings tab dialog to specify information for Remote mailboxes using the IMAP4 protocol. (If you do not already have a tab dialog for IMAP4, choose the Add button from the Network Settings dialog. In the Add transport dialog box, select IMAP 4 and choose the OK button.)

Note: You must also configure an Outgoing Mail Gateway (SMTP Server) using the Internet tab (of the Network Settings dialog box) to allow the sending of mail. This may or may not be the same mail server (host) as your IMAP4 server.

You may access multiple remote serversremote servers. To do so, choose the Add button in the Network Settings dialog box. Another settings dialog box is displayed, allowing you to specify settings for another server. Additional tabs are added to the Network Settings dialog box when you add additional servers. You can specify a name to appear of the tab, or accept the default names (IMAP, IMAP-1, IMAP-2, and so forth). You can also add numerous occurrences of the same server with different usernames.

After you have added IMAP transport and specified the network settings, the left pane of your email display will have a pane for Remote Folders as well as the usual pane for Local Folders. Each server that you add appears as a separate branch on the Remote tree displayed in the left pane.

IMAP Mail Setting Description
IMAP Server Specify the fully qualified name or IP address of the computer system acting as the IMAP mail server. If you have Telnet, you can verify that your server supports IMAP4 server support, Telnet to port 143 and check for the IMAP server greetings.
User name Specify the mail user for remote login authentication. The username for a remote UNIX server is the username that you use to log into that machine. Note that it is case-sensitive.
Password Specify the password of the mail user for remote login authentication. The password for a remote UNIX server is the password that you use to log into that machine. Note that it is case-sensitive.

Use the Advanced button to set the following:

Keep messages cached between sessions Viewed messages are automatically saved on the local drive for while Z-Mail™ Pro is running. Select this option, to save these messages after exiting mail, and retrieve on reactivating mail.
IMAP cache location Enter or use the browse button to select the directory in which to store the cached files. The IMAP.CHE directory is created in that location and all servers' messages information is kept there.
Shared Mailboxes If you connect to a Washington-style IMAP server and you want to view shared mailboxes, you must use this option. Specify the additional mailboxes you want to access in the top text box, using the full UNIX path of the mailboxes you wish to view. For example, to access shared mailboxes under the user "lizzie's" account, you specify ~lizzie/.

Do not forget to add the "/" character; this will allow the mail client to look for sub-mailboxes under that home directory. Choose the Add button. The additional mailboxes are displayed.

Connect when mail starts Select this option, for connection to this server to be automatically established when you open your Z-Mail™ Pro application.
Move to Trash on Delete Messages are moved to the trash folder when delete is used. This option allows you to retrieve mail that you did not mean to trash by selecting it from the trash folder and moving it back to another folder. For faster usage and deletions, keep this box unselected.

Note: More than one IMAP transport can be added by selecting the Add button and then double clicking on the IMAP4 item.

Existing Server Types

There are currently two types of servers that use the IMAP protocol: Cyrus Carnegie Mellon University and University of Washington. They have some notable differences:

MailBox Types Cyrus Washington
Shared Mailboxes By default, you can view all at the root level. By default, there are no shared mailboxes. These are set through the Network Settings dialog box. The ACL can be modified so specific mailboxes cannot be viewed. You must have permission to view them.
Private Mailboxes (inbox) Appear under the user's root. Appear anywhere under the hierarchy.
Hierarchical Folders By default, folders can be nested. To create nested folders, you must specify a separator in the path when creating the parent mailbox. For example, if you specify "hello/", the hello mailbox created is a type of mailbox that can have folders within it.
Trash (remote) Trash is under the inbox. Trash is at the root.
